Full-Time | Monday - Friday | 8:30 AM - 5:00 PM

Job Overview

We are seeking a detail-oriented Medical Records Specialist to join our Health Information Management (HIM) team in Tacoma, WA. This onsite role supports medical imaging and outpatient clinics by organizing, processing, and maintaining patient medical records in compliance with HIPAA, state, and federal regulations.

The ideal candidate has experience in medical records, radiology imaging systems (PACS), EMR/EHR systems (EPIC), and Release of Information (ROI) processes. This role thrives in a fast-paced, customer-focused healthcare environment with high-volume phone and documentation workflows.

Key Responsibilities

  • Process medical records requests via phone, fax, and electronic systems
  • Manage Release of Information (ROI) in compliance with HIPAA and state guidelines
  • Retrieve and prepare patient records for physicians, technologists, and patients
  • Utilize PACS, EPIC, EMS, and Emix systems to obtain prior images and reports
  • Print and manage diagnostic imaging (films, CDs, digital images)
  • Push and track digital imaging through PACS systems
  • Maintain accurate tracking of discs, films, and medical documentation
  • Answer high-volume phone calls within departmental service standards
  • Coordinate attorney and legal medical records requests with HIM/Legal teams
  • Ensure completeness and accuracy of EMR documentation
  • Maintain confidentiality and data security standards
  • Resolve discrepancies in medical records
  • Support mail processing, courier deliveries, and supply coordination
  • Communicate professionally with patients, providers, and medical facilities

Required Qualifications

Education & Experience

  • High School Diploma or GED required
  • Associate degree preferred
  • Minimum 1 year of recent experience in medical records or healthcare administration
  • Prior experience in imaging medical records or radiology records preferred

Technical Skills

  • Experience with EMR/EHR systems (EPIC preferred)
  • Familiarity with PACS imaging systems
  • Knowledge of HIPAA regulations and Release of Information processes
  • Strong computer and data entry skills
  • Understanding of medical terminology

Work Location

This is an onsite position based at our Administrative Office in Downtown Tacoma, Washington. Free secure parking is provided.

Hourly Pay: $18.31 - $21.78 (based on experience)
